Troubleshooting

Common Google Workspace problems we fix

If one of these sounds familiar, you’re not alone. Most have a clear cause and a clean fix.

  • Gmail messages going to spam?

Your emails land in clients’ junk folders, or Gmail and Outlook reject them outright. Since 2024 Google and Yahoo require proper authentication for bulk senders, and it affects small senders too.

  • Domain verification failing?

Google can’t verify your domain, so setup stalls. Usually a TXT record in the wrong place, at the wrong provider, or blocked by a DNS mistake.

  • Need to migrate years of existing email?

Thousands of messages, folders, contacts and calendars from an old host or Microsoft 365, moved without losing history or missing new mail.

  • Business data on unmanaged devices?

Staff read company email on personal phones with no passcode, and nothing happens when someone leaves. We set up device rules and remote sign-out.

  • SPF, DKIM or DMARC failing?

Too many SPF lookups, DKIM never switched on, or a DMARC policy that’s missing or blocking legitimate mail from your website and tools.

  • Former employees still have access?

Accounts left active, shared files owned by people who’ve left, and no clear process for onboarding or offboarding.

Plain-English explainer

SPF, DKIM and DMARC: why they matter

These three DNS records tell receiving mail servers that email “from” your domain really is from you.

Without them, your invoices and quotes are more likely to end up in spam, and scammers can more easily send email that looks like it came from your business. Google and Yahoo now require them for senders above certain volumes, and many receiving servers treat missing records as a warning sign regardless of volume.

Getting them right means accounting for everything that sends as your domain: Google Workspace, your website’s contact form, your invoicing software, your newsletter tool and your CRM.

SPF
A list of the services allowed to send email for your domain. Too many entries, or more than one SPF record, and it breaks.
DKIM
A digital signature added to each message, proving it wasn’t altered and really came from your domain. In Google Workspace it must be switched on manually.
DMARC
Your policy for what receivers should do with mail that fails SPF/DKIM, plus reports showing who is sending as you. Rolled out gradually so legitimate mail isn’t blocked.

Migrations

How we migrate your email without disruption

  1. Inventory. Mailboxes, aliases, shared addresses, forwarding rules, and everything else that sends email as your domain.
  2. Prepare. Create users, verify the domain, lower DNS TTLs and set up authentication records before anything moves.
  3. Copy. Move historical email, contacts and calendars in the background while everyone keeps working as normal.
  4. Cut over. Switch MX records at a quiet time, then run a final sync to catch anything that arrived in between.
  5. Settle in. Set up phones and computers, confirm mail flow in both directions, and remain on hand for questions.

FAQ

Google Workspace questions

How long does a Google Workspace setup take?

A basic setup with a few users can often be done in a day once we have access to your domain’s DNS. Migrations take longer depending on the amount of email; we’ll give you a timeline based on mailbox sizes and number of users.

Will we lose email during a migration?

No. We copy existing mail first, then switch MX records at a planned time and run a final sync, so messages sent during the changeover are not lost. We also lower DNS TTLs beforehand so the switch takes effect quickly.

Why are our emails going to spam?

The most common causes are missing or incorrect SPF, DKIM or DMARC records, a website or app sending mail “from” your domain without authorization, or a sending IP on a blacklist. We check all of these and fix the root cause.

Can you move us from Microsoft 365 to Google Workspace (or back)?

Yes, in either direction, including email, calendars and contacts. We’ll explain what transfers cleanly and what needs manual attention, such as shared mailboxes or Teams/OneDrive files. See also Microsoft 365 services.

Do we need to buy Google Workspace through you?

No. You can buy licences directly from Google so the account is in your name. We just configure and support it. That keeps you in control of billing and ownership.

Can you fix our DNS if it’s managed somewhere else?

Yes. Whether your DNS is at GoDaddy, Namecheap, Cloudflare, your web host or a Canadian registrar, we can make the changes with access or walk your provider through them. See DNS & domain support.
